Job Title: Scheduler / Program Specialist

The Building People, LLC, has a position open for a full-time Scheduler / Program Specialist on a task with the Office of Energy Efficiency and Renewable Energy (EERE). The Scheduler / Program Specialist will perform a variety of functions
which are listed below.
Serve as primary point-of-contact for Assistant Secretary (Acting) schedule:
Maintain day-to-day schedule of Assistant Secretary (Acting);
Review calendar daily for accuracy, appropriate prioritization of EE-1 time on all topics;
Propose prioritization of Assistant Secretary (Acting) time, coordinate with Senior Advisor (SA) and Chief of Staff (CoS);
Respond to internal scheduling requests, working closely with SA/CoS to facilitate requests with appropriate prioritization;
Utilize awareness of upcoming events, meetings, and engagements that require additional preparation and coordination for Assistant Secretary (Acting);
Ensure appropriate planning and preparation time is on the calendar for all events and meetings.
Ensure smooth and timely transition from meeting-to-meeting, keeping Assistant Secretary (Acting) on-schedule over the course of the day.
Answer schedule questions and inquiries as made by EERE Staff and external stakeholders.
The Scheduler a key partner of the Chief of Staff and Special Advisor(s), flagging issues as they arise, and proactively getting ahead of the Assistant Secretary (Acting) calendar, logistics, and correspondence.
Coordinates and compiles briefings, talking points, and logistics documents in daily briefing binders and in advance of travel. This requires much collaboration with and organization of internal and external stakeholders.
The Scheduler is sometimes asked to manage Assistant Secretary (Acting) correspondence, drafting thank you notes, proofreading emails and prepares draft responses for the Assistant Secretary (Acting) to send.
Works closely with EERE Front Office team and backup others when necessary.
Coordinates Assistant Secretary (Acting) foreign travel arrangements, including booking travel, completing the Visa application process, completely the FTMS/cable, creating travel binders, and completing travel vouchers.
Coordinates all domestic travel arrangements, including booking travel, communicating and coordinating with event POCs, creating travel binders, and completing travel vouchers.
Prepares all trip materials (itinerary, briefing materials, presentations, and schedule logistics).
Processes travel expense reports for EE-1 travelers.
Minimum of a bachelor’s degree preferred in Business Administration or Management, and ten (10) or more years of experience.
Ability to handle multiple priorities in a fast-paced environment.
Ability to work effectively with others.
Ability to develop and manage strong, positive relationships with internal and external stakeholders.
Strong oral and written communication skills are required.
Strong experience in MS Office (Word, Excel, Outlook and PowerPoint) is required.
Experience with making domestic and international travel arrangements is required.
Experience with any federal travel management system is preferred.
Experience with ATTAP (federal time & attendance system) is preferred.
Experience supporting C-Suite personnel at Department of Energy or federal agency is preferred.
Ability to competently deal with changing requirements.
